Clear a File Room Without Losing Track of What Happens Next

Clear office archives, move records into storage and arrange confidential shredding for paperwork your organisation has approved for destruction.

Archive Moves and File Room Clear-Outs

One Clear Plan for Records to Keep, Move or Destroy

Moving a law firm, clinic, pharmacy, office or construction site, or running out of filing space? We help organisations plan a records clear-out, move files into storage and arrange confidential shredding for records you have approved for destruction.

Paper archives can fill cabinets and storerooms in law firms, clinics, construction teams and organisations of every kind. A clear-out works best when your team can see what is moving to storage, what stays on site and what has been approved for destruction.

We can help plan collections, supply archive boxes, discuss re-boxing and transfer records to off-site storage. If some records are ready for destruction, we can discuss shredding those separately. This lets you clear space without mixing files to retain with material to destroy.

When Archive Clearance Helps

Useful for Office Moves and Record Reviews

  • Moving or consolidating offices
  • Closing a branch or vacating a leased building
  • Clearing file rooms, cupboards or storage areas
  • Reviewing old files, archive boxes or other business records
  • Sorting a large archive into records to retain and records approved for shredding

How a Clear-Out Can Be Organised

Agree the Next Step for Every Record

  1. Walk through the requirement. Tell us about the site, the volume, access restrictions and your completion date.
  2. Separate the decisions. Your team identifies what must stay, what should move into storage and what is authorised for destruction.
  3. Agree the preparation. We agree how boxes should be prepared for collection, re-boxing, storage or shredding. We then add our own barcode to every box going into storage.
  4. Set the collection plan. For larger jobs, collections can be staged by room, floor, site or date.
  5. Complete the next step. Stored records remain available for retrieval; approved destruction is arranged separately.
We do not make retention decisions for your organisation. Your team must decide which records to keep and authorise any destruction. We help carry out the agreed plan.

A Joined-Up Service

Keep Storage and Shredding Separate from the Start

A mixed clear-out can include more than one outcome. Keep the records separated and authorised so every box follows the right route.

Records to Retain

Pack and identify boxes for off-site storage, then request files when they are needed.

Records Under Review

Set these aside for your own review. Do not include them with material approved for shredding.

Records to Destroy

Separate approved confidential paper for a shredding collection or agreed drop-off.

Questions About Larger Moves

We can discuss archive boxes and preparation before the collection. Tell us how the records are currently stored and whether you need help re-boxing.

We can discuss staged or multi-site collections. Include each postcode, approximate volume and any access limits when you contact us.

Yes. Keep the two groups clearly separate and make sure your organisation has authorised anything marked for destruction. We will agree collection and handling for each group.

We can help organise the work, but we cannot decide how long your business should retain particular records. That decision remains with your organisation or its professional adviser.
